3.1 General data retention rules
We are guided by the principle of minimisation when determining the retention period of your personal data. This means that we only keep your data for the period of time that is strictly necessary, which varies according to the type of data and the purpose for which it is processed. After this period, we will securely delete or anonymise your data so that it is no longer possible to identify a specific person.
In the case of data related to the transport service, we keep your personal data for 3 years after the service has been provided. This period allows us to resolve any claims, to document the services provided retrospectively and to provide you with a history of your journeys should you need it. In the case of regular customers, this period is always calculated from the last transport carried out.
We take a special approach to the storage of accounting documents and invoices, which, according to the Accounting Act, must be archived for 10 years. These documents contain basic invoicing data that we are obliged to keep in case of a tax audit or other legal review.
3.2 Specific retention periods by data type
We store the contact and order data that you provide to us via the form on our website for the duration of the shipment and subsequently for the above-mentioned three-year period. This data includes your name, telephone number, email address and details of the transport requested. After this period, this data is automatically deleted from our systems.
If you have provided us with billing information for the issue of an invoice, this information is part of the accounting documents and is subject to a statutory archiving period of 10 years. This information includes the billing name/company name, address, VAT number, VAT number and bank account. We must keep this data unchanged in case of inspection by state authorities.
4. Rights of data subjects
4.1 Fundamental rights in the processing of personal data
The protection of your personal data is based on respect for your rights as a data subject. It is important to us that you know that you are in control of your personal data and can exercise your rights guaranteed by the GDPR and the Data Protection Act at any time.
To exercise any of the rights set out below, you can contact us by email at [email protected] or by writing to us at our company address. We will respond to your request within 30 days. In the case of a complex request, we may extend this period by a further 60 days, which we will inform you of.
4.2 Detailed description of individual rights
As a user of our services, you have the right to access your personal data. This means that we will provide you with a complete overview of the personal data we process about you upon request. This overview will include information about what specific data we hold, for what purpose we use it, how long we keep it and to whom we disclose it where appropriate.
If you discover that any of the information we hold about you is incorrect or out of date, you have the right to have it corrected. Simply contact us to request a correction and we will ensure that this information is updated on our systems. This right is particularly important for contact details so that we can reliably reach you in connection with the provision of our services.
In certain cases, you have the right to have your personal data erased (the so-called right to be forgotten). You can exercise this right in particular if there is no longer a reason to continue processing it, for example if you have stopped using our services. However, it is important to know that this right is not absolute and in some cases, for example due to legal obligations (accounting documents), we cannot delete your data despite your request.
4.3 Procedure for exercising rights
We always act individually and with the utmost care when exercising your rights. Upon receipt of your request, we will first verify your identity to ensure that we do not disclose the data to an unauthorised person. We will then carefully consider your request and decide on the next course of action.
5. Security and privacy
5.1 Comprehensive security system
The security of your personal data is our priority. We have therefore implemented extensive security measures to protect your data from unauthorised access, loss or misuse. We only process all personal data in a secure environment and it is only accessed by authorised persons.
Our employees are regularly trained in data protection and are bound by confidentiality. Only those employees who absolutely need access to the data to do their job, such as dispatchers for order processing or accountants for invoicing, have access to the data.
Privacy Policy
5.2 Specific safety measures
We use a combination of technical and organisational measures to protect your personal data. All electronic communications, including the order form on our website, are secured using encryption. This means that when you send us your data via our website, it is protected from unauthorised access during transmission.
We store the personal data we collect from you in secure, access-controlled systems. Any access to the data is monitored and logged, allowing us to trace back who has worked with the data and when. We also regularly perform data backups to prevent data loss in the event of technical problems.
We keep paper documents that contain personal information, such as printed orders or accounting documents, in locked areas with restricted access. These documents can only be accessed by authorised persons and are securely shredded after the retention period.
